Microsoft Teams is a useful tool, many companies use for a smooth collaboration with their teams. It’s got a user-friendly interface that meets most, if not all, requirements for better teamwork.
The outlook is one of its tools integrated into the Microsoft Teams and Office 365 suite, which is for receiving and replying to all emails, along with organizing and saving contacts. It can also manage appointments, daily tasks, and meetings, making it great for the business or personal environment.
So, how exactly can one use Outlook for remote working with their workforce? Here are their features:
1. Email Accounts
Before you begin working on Outlook, the first thing you need is to add your Office 365 account. This is the corporate mailbox, allowing you to communicate with your colleagues, clients, bosses, even external organizations.
If needed, one can add more than one account, such as shared emails for quicker communication. This adds convenience to easily switch and manage email accounts in one platform. - The Folder Pane shows all of your connected email accounts with their respective folders, which can be customized and managed as you like.
- The Mailbox will show emails in each folder with complete details including the sender name, date, subject, and description
- The Reading Pane will show the complete content of the selected email from your Mailbox
3. Outlook’s Mailbox
The Mailbox list will contain all emails in the folder you selected from your Folder Pane. The items will be ordered chronologically, beginning from the most recent ones. You can organize your emails with the Categories so you can check your emails easily.
One can find necessary emails using the Search Bar by providing keywords from the email, such as the subject, category, or sender name. There is also the Focused Inbox, helping you stay focused with emails mattering most to you. The Other tab is the opposite, which displays the rest of your emails.
4. Outlook’s Calendar
The Calendar will show all of your daily events with the time and location fixed so you can stay organized. Your events are managed in two mail items, which are personal appointments and meetings shared with others.
If you plan to create a new appointment or meeting, simply add the subject, time, location, and additional notes, including an attachment/s as needed. One can even schedule meeting across time zones, adding multiple ones to the calendar to check everyone’s availability, choosing a time working for everyone.
Take advantage of the Reminder and Recurrence feature, enabling pop-up notifications before the event begins and making the event repetitive, respectively.
5. Using Microsoft Teams and Outlook
As mentioned, Microsoft Teams is great for integrating with other applications, including Outlook. Integrating both applications will allow you to stay informed with all the updates, news, and statuses of projects without having to dive deep into all dialogues, which can be confusing and time-consuming!
With Microsoft Teams and Outlook, team members can send important conversations without having to leave Microsoft Teams. You’ll be contacted via email and receive active dialogues to see all replies from your selected email, along with viewing the attached files.
